DatabaseAI lets you ask a Microsoft Access database questions in plain English and get answers, charts, and Excel files on your Windows PC. It is read-only. Your forms, reports, and VBA keep working.
What is DatabaseAI?
DatabaseAI is a Windows desktop app from Excel Access Expert that opens .accdb and .mdb files through the Microsoft Access database engine (ACE) driver, which most Access installs already include. You type a question in plain English. The app writes the Access SQL, runs it on your PC, and shows the answer as a sentence, a table, or a chart.
| Platform | Windows desktop app |
|---|---|
| File types | .accdb and .mdb via the ACE driver |
| Access mode | Read-only. Only SELECT queries run. |
| Where data lives | Rows and values stay on your PC. The question plus relevant table and column names go to OpenAI with your own API key. We never receive the database. |
| Price | $30 per user per month, or $270 per user per year |
| Trial | 3-day trial on a new account, then contact us to continue. No automatic card charge in the app. |
How does DatabaseAI work?
You open the Access file on your PC, type a question, and review the result. One chat stays with that file when you reopen it. The examples below are sample questions only, not live output from a real customer file.
Open your Access file
DatabaseAI uses the ACE driver on Windows. Your forms, reports, and VBA stay in place. Nothing is migrated.
Ask in plain English
Examples: "Total hours by employee this month." "Which invoices are more than 60 days past due?" "Show monthly sales by region as a chart."
Get the answer on your PC
The app runs a SELECT, shows a sentence, table, or chart, and lets you download results as Excel. You can view the SQL it ran.
What can you ask it?
Example questions for illustration. Results depend on your tables and data.
Accounting
- Which invoices are more than 60 days past due?
- Total payments received this month by customer
- Expenses by category versus last quarter
Inventory
- Items below reorder level by warehouse
- Receipts versus issues for the last 30 days
- Slow-moving stock with no movement in 90 days
Professional services
- Total hours by employee this month
- Open jobs with no time entry in two weeks
- Billable versus non-billable hours by project
If you need a permanent report, form, or workflow instead of an ad-hoc answer, see our Access reports and forms work and custom Access database development.
Is it safe to use with business data?
DatabaseAI opens your file read-only and only runs SELECT queries. Update, delete, insert, and make-table queries are blocked. Rows and values stay on the PC. To write the query, the app sends the question plus the names of the relevant tables and columns to OpenAI, using your own OpenAI API key. Excel Access Expert never receives the database. Answers, charts, Excel files, and chats are saved on the PC.

DatabaseAI compared with other ways to get answers from Access
Teams usually pick one of five approaches. This table compares the approach, not a brand name. Where a detail varies by tool or vendor, the cell says so.
| Feature | Paste exports into a chat tool | SQL-generator websites | Hire a developer per report | Migrate to SQL Server or the cloud | DatabaseAI |
|---|---|---|---|---|---|
| Setup time | Typically minutes | Typically minutes | Days to weeks | Weeks to months | Install and open the file |
| SQL knowledge needed | No | Often yes to review output | Yes on the developer side | Varies | No |
| Do rows leave your PC? | Typically yes if you paste data | Varies | No, if work stays on-site | Varies by host | No. Rows stay on the PC |
| Can it change your data? | N/A (chat only) | Varies | Yes, if scoped that way | Yes (migration) | No. SELECT only |
| Cost model | Chat subscription + staff time | Varies | Fixed-scope or hourly project | Project plus hosting | $30/user/month or $270/user/year |
Do I need to migrate Access first?
No. DatabaseAI works with the Access file you already run. Forms, reports, and VBA keep working. Many offices try AI questions first because the real need is faster answers, not a new platform.
Migration is still the right call when the file is near the 2 GB ceiling, corruption keeps returning on a shared drive, or too many concurrent users fight over one .accdb. In those cases, see our Access to SQL Server migration service. DatabaseAI does not replace that work.
How much does it cost?
Monthly
$30 / user / month
Pay month to month after the trial.
Yearly
$270 / user / year
Same product. Billed once per year.
The yearly plan costs $90 less than twelve months of monthly pricing ($360 versus $270). New accounts get a 3-day trial. After the trial, contact us to continue. There is no automatic card charge in the app. A live demo of the desktop app is available; you do not send a database file.
