How to create an Access database from Excel, step by step
You can do a simple version yourself. These are the steps we follow, and the order matters. For a full migration path, see how we convert Excel to an Access database.
- Clean the sheet. One header row, no merged cells, one value per cell, no blank rows, and one date format.
- Split repeated data into separate tables. If a customer name repeats on every order row, create a Customers table and an Orders table. Give each table an AutoNumber primary key.
- Import into a staging table first. In Access, go to External Data, then New Data Source, then From File, then Excel. Import into a new staging table and tick the option to use the first row as column headings.
- Set field types and rules. Choose text, number, date or currency for each field. Mark required fields and add validation rules.
- Create relationships. Under Database Tools, open Relationships, link each foreign key to its primary key and enforce referential integrity.
- Move clean rows into the real tables. Use append queries, or the VBA below if the import repeats every week.
- Build forms and reports. Users should enter data through forms, never directly in tables. Base reports on queries.
- Split the database. Under Database Tools, use the Access Database splitter so each user gets a front-end linked to one shared back-end file.
VBA: a repeatable Excel import with duplicate protection
Many teams keep receiving Excel files from suppliers, the field or a partner. This routine loads the file into a staging table, then adds only new customers that have an email address. The staging table must have column names that match the Excel headers. Add a unique index on tblCustomer.Email so a duplicate can never slip in.
